This Privacy Policy explains how Hair System Salons LLC (“Hair System Salons,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you visit our website at hairsystemsalons.com (the “Site”), use the Hair System Salons mobile application (the “App”), or use our related booking and communication services (together with the Site and App, the “Services”).

By using the Services, you agree to this Privacy Policy. If you do not agree, please do not use the Services.

Who we are

The Services are operated by Hair System Salons LLC, located at 19016 Brookhurst Street, Huntington Beach, CA 92646. We let you discover services, book and manage appointments, and receive appointment-related and promotional communications from Hair System Salons.

Information we collect

Information you provide

• Contact information — your name, email address, and mobile phone number.
• Appointment details — the service you select, your chosen stylist, date and time, and any notes or special requests you add to a booking.
• Account verification — a one-time passcode (OTP) is sent to your email or phone to verify your identity when you sign in to the App.
• Communication preferences — whether you have opted in to promotional messages, and your reminder settings.
• Hair and service information — preferences and any details about your hair or scalp that you choose to share with us so we can recommend and provide suitable services.
• Comments and reviews — if you post a comment or review on the Site, we collect the content you submit and, where you use a Gravatar-enabled email, the associated public profile image.

Information collected automatically

• Device and identifiers — a unique account identifier and, if you enable notifications in the App, a device push token.
• Website log and usage data — when you visit the Site, we and our providers automatically collect your IP address, browser and device type, pages viewed, referring pages, and similar diagnostic data.
• App usage data — interactions within the App and with our messages (for example, that a booking was created or cancelled, or that a message was delivered or opened), used to operate and improve the Services.
• Cookies and similar technologies — see “Cookies and similar technologies” below.

Payment information

Payments for salon services are handled at the salon or through our salon-management provider at the time of service. If you purchase products or services online, payment is processed by a PCI-DSS-compliant payment processor. We do not store full payment card or bank account numbers, and the App does not collect or store card details.

Information we do not collect in the App

• Precise location — the App does not track your location. Choosing “Get Directions” simply opens your device’s maps app.

Cookies and similar technologies

The Site uses cookies and similar technologies to keep the Site working, remember your preferences, understand how the Site is used, and (where enabled) support advertising and measurement. We use:

• Essential cookies needed for the Site to function;
• Analytics cookies that help us understand Site usage (for example, Google Analytics);
• Advertising/measurement cookies that help us promote our services and measure their effectiveness (for example, Meta/Facebook tools).

You can control cookies through your browser settings and, where offered, through the cookie controls on the Site. Blocking some cookies may affect how the Site works. The App itself does not use advertising cookies.

How we use your information

We use personal information to:

• create and manage your account and verify your identity;
• schedule, confirm, change, and cancel appointments, and keep your booking history;
• send transactional messages (appointment confirmations, reminders, changes, and account notices) by email, SMS, or push notification;
• send promotional messages (offers, news, and rebooking reminders) by email or SMS where you have opted in, which you can stop at any time (see “Your communication choices”);
• provide haircut/rebooking reminders you configure in the App;
• operate, secure, troubleshoot, analyze, and improve the Services;
• measure and promote our services, including through analytics and advertising as described below;
• comply with legal obligations and enforce our Terms.

Analytics and advertising

We use analytics tools such as Google Analytics to understand how the Site and Services are used. We may also use advertising and measurement tools provided by platforms such as Meta (Facebook) to promote our services and measure campaign performance.

Depending on how these tools are configured, they may collect online identifiers and activity and may involve the disclosure of that information to the analytics or advertising provider. Under some U.S. state privacy laws, this type of disclosure for cross-context behavioral advertising can be considered a “sale” or “sharing” of personal information. We do not exchange your personal information for money. See “Notice for California residents” for your choices. We do not disclose the health-related information you share about your hair or scalp to our analytics or advertising providers, and we do not use it for cross-context behavioral advertising or to build advertising profiles.

How we share your information

We do not sell your personal information for money. We share it only as described here:

• Hair System Salons (the business) — your booking and contact details are made available to the salon so it can prepare for and provide your appointment.
• Service providers that process data on our behalf:
• Supabase — database, authentication, and hosting (United States).
• Klaviyo — delivery of email and SMS messages (United States).
• Vagaro — our salon-management and scheduling system, which holds appointment and customer records.
• Expo (Expo Application Services) — generation and relay of mobile push notifications to the Apple Push Notification service (United States).
• Apple Push Notification service — delivery of push notifications.
• Google Analytics — website and Services analytics.
• Meta Platforms (Facebook) — advertising and measurement, where enabled.
• Automattic / Gravatar — display of public profile images for comments on the Site.
• Payment processor — secure processing of online payments, where applicable.
• Legal and safety — to comply with law, respond to lawful requests, or protect the rights, safety, and property of you, us, or others.
• Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.

Your communication choices

• Transactional messages (confirmations, reminders, account notices) are part of the Services and cannot be turned off while you keep an active account, except as noted below; where sent by SMS, standard message and data rates may apply. You can still reply STOP to any of our texts to stop messages on the SMS channel; where possible we will continue to send necessary transactional notices by email or push, or you can view them in the App.
• Promotional SMS — message frequency varies. Reply STOP to any marketing text to opt out, or HELP for help. Message and data rates may apply.
• Promotional email — use the unsubscribe link in any marketing email.
• Push notifications — disable them in your device settings; manage rebooking reminders in the App under Account → Haircut Reminders.

Opting out of promotional messages will not stop transactional messages necessary to manage your appointments. Consenting to promotional messages is optional and is never required to use the Services or book an appointment.

Data retention

We keep personal information for as long as your account is active and as needed to provide the Services. We generally retain booking and contact records for up to 24 months after your last appointment, after which we delete or de-identify them, unless a longer period is required for legal, accounting, dispute-resolution, or security purposes. When you delete your account, we delete or de-identify your personal information after the 14-day grace period, except for limited records we are required to retain for legal, accounting, dispute-resolution, or security purposes.

Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encrypted transport and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your privacy rights

Depending on where you live, you may have the right to:

• know / access the personal information we hold about you;
• correct inaccurate information;
• delete your information;
• opt out of promotional communications and, where applicable, of the “sale” or “sharing” of personal information;
• not be discriminated against for exercising your rights.

Delete your account in the App: go to Account → Personal Info → Delete Account to request deletion of your account. When you confirm, you are signed out and your account is scheduled for permanent deletion. After a 14-day grace period, your account and associated personal information are permanently deleted, except records we are required to retain for legal, accounting, dispute-resolution, or security purposes. You may also email us at info@hairsystemsalons.com and we will verify and process your request.

Notice for California residents (CCPA/CPRA)

California residents have the rights described above, plus the right to opt out of the “sale” or “sharing” of personal information and to limit the use of sensitive personal information.

The categories of personal information we collect are: identifiers (name, email, phone, account ID, IP address), commercial information (appointment and purchase history), internet/network activity (Site and in-app interactions and message engagement), and, where you choose to provide it, health-related information about your hair or scalp, which may be treated as sensitive personal information. We collect this information from you directly and automatically through your use of the Services, for the purposes and from the sources described in this Policy.

We do not exchange personal information for money. To the extent our use of analytics or advertising tools constitutes “sharing” or a “sale” under California law, you may opt out using the cookie controls on the Site. To exercise a right, contact us at info@hairsystemsalons.com or use the in-app delete option; you may also use an authorized agent, who must provide signed written permission and may be required to verify your identity. We will verify your identity using the account information we hold before acting on a request, and we will respond within 45 days of receiving it (we may extend this by an additional 45 days where reasonably necessary and will let you know if we do). We will not discriminate against you for exercising your rights.

Children’s privacy

The Services are intended for adults. You must be 18 or older to create an account or use the Services. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.

Data location and transfers

We are based in the United States and process information in the United States. If you access the Services from outside the United States, you understand your information will be processed in the U.S.

Third-party links and services

The Services may link to third-party services (for example, your maps app, our salon-management provider, or social media). Their privacy practices are governed by their own policies, not this one.

Changes to this Policy

We may update this Policy from time to time. We will post the updated version with a new effective date and, where appropriate, notify you in the App or by message. Your continued use of the Services after changes take effect means you accept the updated Policy.
